TX416.2, Pre-Retirement Planning Sessions
Human Resources (HR) Staff prioritized workload has made it necessary to
initiate the following operating procedure for scheduling and conducting
individual retirement counseling sessions.
- Starting January 1, 2008, no more than one retirement counseling session will
be conducted per week.
- Retirement counseling will normally be scheduled on Wednesdays in the months
of February through November. A first come, first serve process will be
utilized.
- Employees who want retirement counseling will need to obtain approval from
their supervisor (per the chain of command) prior to scheduling a retirement
counseling session with HR.
- Sessions will only be scheduled following receipt of written approval from
the appropriate Principal Staff member (i.e., ASTC (FO). An e-mail from the
approving Principal Staff member to the HR Manager will be sufficient
notification for HR. The HR Staff member who will be conducting the retirement
counseling session will contact the potential retiree to obtain information
needed to prepare for the counseling session, and schedule an agreeable date and
time for the session.
- Workloads may require canceling and rescheduling of retirement counseling
sessions. This may be done by the potential retiree through normal channels, HR,
or the appropriate Principal Staff member.
- Employees considering retirement within a calendar year may schedule
retirement counseling starting in February of that year.
- Exceptions to the above procedures will be considered when retirement is
caused by emergent or unforeseen circumstances such as health issues, etc.
- Several members of the HR Staff will conduct retirement counseling. The HR
Manager will assign a HR Staff member to conduct counseling sessions. Requests
for a particular HR Staff member to conduct retirement counseling will not be
honored.
- Only one retirement counseling session will be granted per employee during
the employee’s tenure in the state.
Retirement counseling sessions are considered to be official business, and
employees will be entitled to travel expenses in the same manner as other
authorized official travel.
